Your venue sets the tone, the budget, and the guest experience for everything that follows. Choose it carefully.

Capacity: What is the comfortable seated-dinner number — not the maximum legal occupancy? A venue that's too big will feel empty; one that's too small will feel chaotic.

Timing: How many hours does the rental include? What is the overtime rate? When can vendors arrive and when must they leave? Will another event be in the building before or after yours?

Included items: Are tables, chairs, linens, lighting, sound system, valet, security, bartenders, and cleanup included? Each of these is a five-figure line item if you have to source it yourself.

Alcohol: In-house bar, BYOB with corkage, or open vendor list? Each has very different cost implications.

Vendor restrictions: Is there a preferred or required vendor list? Some venues take a commission from outside vendors or refuse them entirely.

Rain plan: If your ceremony is outdoor, ask to see the indoor backup space in person. If you wouldn't get married there, don't book.

Deposit and cancellation: What is the deposit schedule? What is the cancellation policy? Is there a force majeure clause?

Walk the venue at the same time of day you plan to get married. A garden that's stunning at noon may be a mosquito buffet at sunset. A ballroom that glows at golden hour may feel cavernous at midday.

Trust your gut. If the coordinator is unresponsive during the sales process, that does not improve after the deposit clears.
